1. Good relationships deserve clear agreements
Many dairy businesses depend on informal arrangements with buyers, suppliers, workers, transporters and service providers.
There is nothing wrong with building business through relationships. In fact, relationships are among a farmer's most valuable assets.
But even trusted people can misunderstand expectations.
A clear agreement protects the relationship, not just the transaction.
2. Agree on more than the price
Imagine engaging someone to harvest and transport fodder.
You agree on the price per bag. But what about the expected weight, quality, delivery date, transport costs and what happens if some bags are rejected?
A good agreement answers the important questions before they become disagreements.
For milk sales, clarify the quantity, quality requirements, collection arrangements, payment terms and treatment of rejected milk.
For equipment sharing, establish who operates the machine, maintains it and pays for damage..
3. Put important commitments in writing
A written agreement need not always be complicated.
Depending on the transaction, a signed document, purchase order or clearly acknowledged written exchange may help establish what was agreed.
For significant arrangements, use an appropriate formal contract and obtain professional advice where necessary.
The objective is simple:
Everyone should understand what must be delivered, when, by whom and under what conditions.
4. Prepare for things not going according to plan
What happens when a supplier delivers late? When milk quality is disputed? When heavy rain interrupts harvesting?
A good agreement anticipates reasonable difficulties.
It should explain how problems will be reported, how they will be resolved and what happens when either party cannot fulfil their obligations.
This is not expecting failure.
It is preparing the relationship to withstand difficulty.
5. Keep your word, and your records
An agreement is only as valuable as the commitment behind it.
Keep delivery records, receipts, payment confirmations and relevant communications. Raise concerns promptly and deal fairly with the other party.
A farmer known for honouring commitments builds something more valuable than a single successful transaction.
A reputation that others can confidently do business with.
The Radiant Thought
A strong bridge does not depend on one side alone. Both ends must be firmly anchored.
Business relationships are similar.
Trust brings people together. Clear expectations and faithful delivery keep them connected.
One action this week
Identify one important arrangement on your dairy farm that currently depends entirely on verbal understanding.
Ask:
“If something went wrong tomorrow, would both parties agree on what we promised each other?”
If the answer is uncertain, have the conversation now and document the essential terms.
Sometimes the best way to preserve trust is to make expectations visible.
